Step 1: Document Receiving: At this stage. At this stage these pages will be counted and an entry of the received pages will be made in a log register which will be containing the details like book type, No. of pages in each book etc. where both the delivering and receiving official will sign the entry. Step 2:Document Preparation: Following activities will be performed on this stage: a) Numbering the pages in order to maintain the order of pages in physical form as well as in electronic form. b) Once the documents are being received from the department then pre-scanning activities will be performed on the documents in order to enhance the quality of physical records as well as these processes will help in enhancing the quality of scanned images of the documents. Following are the activities which will take place at this level: c) Dusting and mechanical hot air blowing. d) Where the documents are too brittle – prone to damage in case of any kind of physical handling and torn we will carry out appropriate repair operations on them. e)Once the document enhancement processes are performed then, as these pages will be kept in plastic bags (if required) on which label will be pasted carrying basic details of that particular book. f)These packets will be sent to the document controller. g)Exception: In case any exception is found out at this stage i.e. mismatch in no. of documents found in the file and no. mentioned in the document log register will be marked in the Exception register. h)The Document Controller will create scan batch on his computer for each of the packet he will receive from the Document Preparation Operators. He will create scan batch for batch scanning purpose by entering basic data of Records. Step 3:Scanning: The scanned batches created by the Document Controller will automatically appear on the designated scan station. The scanner operator will select the batch to be scanned and will scan the batch. Exception: In case any exception is found out at this stage i.e., mismatch in no. of documents found in the file and no. mentioned in the batch or any document found unsuitable for scanning will be marked in the Exception register. Step 4:Scan Quality Control: The scanned batches will automatically appear on the Scan QC workstation. The operator will receive the packet of documents along with the batch of scanned document. At scan QC stage an operator will be required to check and verify the following: a)The no. of pages scanned - should match the no. of pages mentioned in the scan batch. If the no. of pages scanned are less and the document whose image is missing is found in the packet, he will insert the image at the correct place in the batch by using scan-insert option. b)The sequence of the pages scanned - if it is not correct, he will correct the image sequence electronically. Step 6:Creation of final PDF: Once images are enhanced. These will be converted into OCRed PDF file through automated OCR process. In order to maintain the originality and authenticity of these images, no manual modification will be done in the OCRed PDF files. Step 7:Return of documents: Once the scanned images of documents have got approved from above mentioned stage then these documents in their original packets will be brought back to the document preparation operators sequence the documents.
